Office and Facilities Administrator

We are seeking a proactive and organised Facilities & Office Coordinator to support the smooth operation of our Head Office. This role plays a key part in facilities coordination, security administration, WHS support, HR administration, and general office operations.You will liaise closely with internal stakeholders, service providers, and contractors to ensure a safe, efficient, and well‑run workplace.
Key Responsibilities
Facilities Coordination
- Liaise with service providers to ensure the effective delivery of facilities services including security administration, mechanical, electrical, and general building maintenance, as well as expense management
- Coordinate daily maintenance requests and repairs, resolving building or facilities issues with suppliers and contractors
- Track maintenance and repair work through to completion, following up with contractors and stakeholders as required
- Record and report faults, issues, and incidents to support review and continuous process improvement
- Maintain facilities procedures, documentation, and registers
Security Coordination & Support
- Manage access cards using the KAU security system, including issuing new cards and replacing damaged cards
- Support the maintenance and management of CCTV footage and alarm systems
Work Health & Safety (WHS) Coordination & Support
- Support compliance with Occupational Safety and WHS legislation
- Monitor and maintain licences and accreditations, including First Aid Officers, Emergency Wardens, and WHS Representatives
- Coordinate WHS Committee meetings, attend as required, and follow up outstanding action items
- Act as the WHS Representative for Head Office
- Coordinate WHS‑related staff communications
- Manage WHS supplies and equipment, including First Aid kits and defibrillators
HR Administration
- Provide HR lifecycle administrative support
- Coordinate Learning & Development activities
- Maintain and update HR systems, including LMS, performance, and succession planning platforms
Office Administration & Support
- Manage day‑to‑day office operations, including stationery, kitchen, and coffee supplies
- Provide Head Office reception cover as required
- Support travel bookings
- Provide HR and IT invoice support
- Assist with ad‑hoc administrative duties as required
About You
To be successful in this role, you will have:
- A current Driver’s Licence
- Full working rights in Australia ( Australian Citizenship or Permanent Resident)
- Previous experience in office management and facilities coordination
- Experience supporting the HR lifecycle in an administrative capacity
- Strong organisational skills and the ability to manage multiple priorities
- High attention to detail with sound documentation and record‑keeping skills
- Strong communication skills and the ability to liaise confidently with internal and external stakeholders
